- receive or retrieve a parcel from a StaticMile locker;
- deposit a parcel into a StaticMile locker;
- receive an email, SMS or other StaticMile notification;
- use a StaticMile website, web portal, application or other digital service;
- contact StaticMile for support;
- request information or a quote;
- interact with us as a property owner, property manager, courier, customer, supplier or business partner; or
- otherwise interact with our products and services.
Our parcel lockers, software, websites, applications, notifications, administrative tools and related functionality are collectively referred to in this Privacy Policy as the “Services.”
We handle personal information in accordance with applicable Canadian privacy legislation.
This Privacy Policy should be read together with our Terms of Service and any additional privacy notice presented when personal information is collected.
2. WHO IS RESPONSIBLE FOR YOUR PERSONAL INFORMATION?
StaticMile provides parcel locker technology to property owners, property managers, residential communities, businesses and other organizations.
Depending on the circumstances, StaticMile may handle personal information in different capacities.
Information processed for a property or customer
When a property owner, property manager or other StaticMile customer uses our platform to manage parcel deliveries, that organization may determine why certain resident, tenant or delivery information is collected and how the locker service is used.
For example, your property may provide StaticMile with your name, unit number, email address or telephone number so that we can notify you when a parcel has been delivered.
In these circumstances, StaticMile may process the information on behalf of the property or customer in order to provide the Services.
The applicable property or organization may have its own privacy policy describing its collection and use of your information.
Information StaticMile collects for its own purposes
StaticMile is responsible for personal information that we collect and use for our own business purposes, including information relating to:
- our website;
- sales inquiries;
- product demonstrations and quote requests;
- customer support;
- business relationships;
- billing and payment administration;
- security and fraud prevention;
- optional StaticMile accounts or applications; and
- the operation and improvement of our business.

3. PERSONAL INFORMATION WE COLLECT
“Personal information” generally means information about an identifiable individual.
The information we collect depends on how you interact with StaticMile.
A. Resident and Recipient Information
When a StaticMile locker is used for a parcel delivery, we may process information such as:
- first and last name;
- email address;
- telephone number;
- property or building;
- apartment, suite, unit or other delivery location;
- parcel or delivery identifier;
- courier or delivery provider;
- tracking or reference number, where provided;
- locker compartment information;
- parcel deposit date and time;
- notification status;
- parcel pickup date and time; and
- other information reasonably required to complete or support the delivery.
We generally do not need information about the contents of your parcel to operate the Services.
B. Locker Access and Activity Information
Our systems may record information relating to activity performed through a StaticMile locker, including:
- parcel deposits;
- parcel retrievals;
- locker compartment openings;
- access attempts;
- pickup code or credential validation;
- timestamps;
- locker or terminal identifiers;
- administrative overrides;
- compartment resets;
- property administrator activity;
- courier activity;
- system status; and
- error or diagnostic information.
This information helps us operate the locker system, provide support, investigate delivery issues, maintain security and resolve disputes.
C. Property Manager and Administrator Information
Where you use StaticMile as a property manager, property employee or authorized administrator, we may collect:
- your name;
- business email address;
- telephone number;
- employer or organization;
- job title;
- property information;
- username or account identifier;
- permissions and administrative roles;
- account activity;
- authentication information; and
- communications with StaticMile.
D. Courier and Delivery Personnel Information
When couriers or other authorized delivery personnel interact with our lockers, we may process information associated with the delivery session, including:
- courier or delivery organization;
- courier identifier, where applicable;
- locker activity;
- delivery timestamps;
- parcel identifiers;
- access credentials or authentication events; and
- related system activity.
E. Optional Account or Application Information
Residents are not generally required to create a StaticMile account to retrieve a parcel.
If we make an optional account, mobile application or web portal available and you choose to use it, we may collect information such as:
- your name;
- email address;
- telephone number;
- username;
- encrypted or otherwise protected authentication credentials;
- account preferences;
- notification preferences;
- device information;
- application activity; and
- technical and diagnostic information.
If a future application feature requires access to information such as your device location, camera, Bluetooth connection or notifications, we will provide appropriate notice and request device permission or consent where required before using that functionality.
F. Payment Information
StaticMile does not ordinarily charge residents simply to retrieve a parcel.
However, a property or organization may impose fees relating to parcel-management services and may use StaticMile to facilitate collection of those fees.
Where payment functionality is used, we may process information such as:
- payer name;
- billing information;
- amount charged;
- applicable taxes;
- payment date;
- transaction identifier;
- payment status; and
- limited payment method information provided by our payment processor.
Payment card information may be processed directly by a third-party payment processor rather than stored by StaticMile.
We only use payment information for payment processing, accounting, fraud prevention, dispute resolution and related lawful purposes.
G. Website and Technical Information
When you visit our website or use our digital Services, certain information may be collected automatically, including:
- Internet Protocol (IP) address;
- browser type;
- device type;
- operating system;
- pages viewed;
- referring page or website;
- date and time of access;
- general interaction with the website;
- session information;
- error and diagnostic information; and

Please do not provide sensitive personal information unless it is reasonably necessary for us to address your request.
4. INFORMATION WE DO NOT NEED
StaticMile's parcel locker Services are not designed to collect sensitive personal information such as:
- health or medical information;
- social insurance numbers;
- passport or government identification numbers;
- racial or ethnic origin;
- religious or political beliefs;
- biometric information; or
- other highly sensitive information unrelated to parcel delivery.
Please do not provide this type of information unless StaticMile specifically requests it for a legitimate purpose and appropriate safeguards have been established.
We also generally do not need to know the contents of parcels stored in our lockers.
5. HOW WE COLLECT PERSONAL INFORMATION
We may receive personal information:
Directly from you
For example, when you:
- contact StaticMile;
- submit a website form;
- request a quote;
- create an optional account;

- configure notification preferences; or
- request customer support.
From property owners and property managers
A participating property may provide information needed to identify residents or tenants and operate the parcel-management service.
From couriers and delivery providers
A courier may provide information such as a recipient name, unit number, telephone number, email address, tracking number or other delivery information when depositing a parcel.
From integrations and technology systems
StaticMile may receive information through integrations with property-management systems, courier systems or other authorized technology platforms.
Automatically through our Services
Our lockers, websites, software and applications may automatically generate operational, security and technical records when the Services are used.
6. HOW WE USE PERSONAL INFORMATION
StaticMile may use personal information to:
Provide the parcel locker service
This includes:
- identifying the intended parcel recipient;
- assigning or managing locker compartments;
- generating pickup credentials;
- notifying recipients of deliveries;
- sending pickup reminders;
- authenticating locker access;
- recording deposits and retrievals; and
- supporting delivery and pickup workflows.
Support properties and administrators
We may provide authorized property representatives with tools and information required to manage their parcel locker system, including assisting residents, managing unclaimed parcels, opening or resetting compartments and investigating delivery issues.

- parcel pickup;
- locker access;
- support requests;
- service interruptions;
- security matters;
- payment transactions;
- account activity;
- changes to our Services; and

Where applicable, we may process payments or facilitate collection of property-imposed fees.

Market StaticMile products and services

Where consent is required, we will obtain the appropriate consent.
You may unsubscribe from promotional electronic communications at any time using the unsubscribe mechanism provided in the communication.
Unsubscribing from marketing will not prevent us from sending transactional or service communications necessary to operate the Services.
Meet legal and regulatory requirements
We may use and retain information where reasonably necessary to:
- comply with applicable law;
- respond to lawful requests;
- establish or defend legal claims;
- enforce agreements;
- maintain required business records; and
- comply with accounting, tax, security and regulatory obligations.
7. CONSENT AND YOUR CHOICES

The form of consent may vary depending on the sensitivity of the information and the circumstances.
In some cases, your consent may be implied from your actions.
For example, where you provide your contact information for the purpose of receiving a parcel, it may be reasonably understood that the information will be used to notify you that the parcel is ready for pickup.
Certain information is necessary for us to provide the locker service. If you withdraw consent to a use that is necessary to provide a requested Service, we may be unable to continue providing that Service.
You may withdraw consent to optional uses of your personal information, subject to reasonable notice and applicable legal or contractual restrictions.
8. SERVICE NOTIFICATIONS AND MARKETING
Parcel notifications, pickup codes, security notices, account notifications and support communications are operational communications associated with the Services.
These messages are different from marketing communications.
Where we send promotional electronic communications, we will manage consent and unsubscribe requests in accordance with applicable Canadian requirements.
We will not require you to receive marketing messages in order to retrieve a parcel.
9. HOW WE SHARE PERSONAL INFORMATION
StaticMile does not sell personal information.
We may disclose personal information in the circumstances described below.
Property owners and property managers
Authorized representatives of the property where a locker is installed may receive information necessary to administer the parcel-management service.
Depending on their permissions, this may include:
- resident or recipient information;
- parcel status;
- delivery and pickup timestamps;
- locker compartment information;
- unclaimed parcel information;
- administrative activity; and
- support information.
Couriers and delivery providers
We may exchange limited information with couriers or delivery providers where necessary to facilitate a delivery, investigate a delivery problem or operate an authorized integration.
Service providers
We may use third-party companies to perform services on our behalf, including:
- cloud hosting and data storage;
- email delivery;
- SMS messaging;
- push notifications;
- payment processing;
- software infrastructure;
- cybersecurity;
- website hosting;
- analytics;
- customer support; and
- professional services.
These providers are permitted to access personal information only as reasonably necessary to provide services to StaticMile or as otherwise permitted by law.

StaticMile is a Canadian company.
Some service providers used to operate our Services may process or store personal information in Canada or in other jurisdictions.
When personal information is processed outside your province or outside Canada, it may be subject to the laws of the jurisdiction where it is processed and may be accessible to courts, law enforcement or other authorities in accordance with those laws.
StaticMile takes reasonable steps to assess and protect personal information transferred to service providers, including through contractual, technical and organizational safeguards where appropriate.
Where applicable law requires an additional assessment or other safeguards before personal information is communicated outside a province or jurisdiction, StaticMile will take the measures required by that law.

11. RETENTION OF PERSONAL INFORMATION
StaticMile retains personal information only for as long as reasonably necessary for the purposes for which it was collected or as required or permitted by law.
Retention periods may depend on factors such as:

- whether a parcel or transaction remains active;
- customer contractual requirements;
- security and fraud-prevention needs;
- support requirements;
- legal limitation periods;
- tax and accounting requirements; and

For example, parcel activity may need to be retained for a period after collection to allow StaticMile and the applicable property to investigate delivery or pickup issues.
When personal information is no longer reasonably required, we will securely destroy, delete or anonymize it in accordance with applicable requirements and our retention practices.
12. ACCURACY
StaticMile takes reasonable steps to ensure that personal information used to provide the Services is sufficiently accurate, complete and current for the purposes for which it is used.
Because some recipient information is provided by properties, couriers or other third parties, StaticMile cannot guarantee that all information supplied to us is accurate.
If you believe information about you is inaccurate, please contact us or, where appropriate, the property responsible for your locker service.
13. SECURITY
StaticMile uses administrative, technical and physical safeguards appropriate to the nature and sensitivity of the information under our control.
These measures may include:
- access controls;
- authentication controls;
- role-based administrative permissions;
- encryption where appropriate;
- network and system security controls;
- logging and monitoring;
- secure software practices;
- backups;
- employee and contractor confidentiality requirements; and
- procedures for responding to security incidents.
Only individuals who require access for legitimate operational purposes should be permitted to access personal information.
No information system or transmission method can be guaranteed to be completely secure. Accordingly, while we use reasonable safeguards, we cannot guarantee absolute security.
14. PRIVACY AND SECURITY INCIDENTS
StaticMile maintains processes for identifying, investigating and responding to suspected privacy and security incidents.
If an incident involving personal information occurs, we will assess the circumstances and take appropriate steps to contain and investigate the incident.

Depending on where you live and the circumstances in which StaticMile holds your information, you may have rights relating to your personal information.
These may include the right to:
- ask whether StaticMile holds personal information about you;
- request access to personal information about you;
- request correction of inaccurate or incomplete information;
- withdraw consent to certain uses, subject to applicable restrictions;
- ask questions about how your information is collected, used or disclosed;
- make a privacy complaint;
- request deletion or destruction in circumstances where applicable law provides that right; and

Before responding to a privacy request, StaticMile may take reasonable steps to verify your identity.

Where StaticMile processes resident information solely on behalf of a property or other customer, we may refer your request to that organization or assist the organization in responding.
16. CHILDREN AND MINORS
StaticMile's public website and sales services are not directed toward children.
However, parcel lockers may be located at residential properties where members of a household who are minors may receive or collect parcels.
Where information relating to a minor is processed as part of a legitimate parcel delivery, StaticMile will handle that information only as reasonably necessary to provide and support the Services and in accordance with applicable law.
We do not knowingly use personal information about minors for targeted marketing.
